Planning Your Visit to OpenZone @ The Word

Taking your class out on a school visit is exciting, but we know it requires careful planning!

At OpenZone, we want to make your trip as stress-free and simple as possible.

To help your day run smoothly, here is everything you need to prepare before you arrive.

📋 The Teacher’s Pre-Visit Checklist

Make sure you have these key elements sorted before setting off:

  • Staffing & Helpers: Ensure you have the appropriate staff-to-child ratio based on your school’s policy. We always suggest a minimum of 2 staff members and highly encourage bringing adult helpers.

  • First Aid: A designated First Aider must accompany your group, equipped with your school’s first aid kit and any specific student medication (inhalers, EpiPens, etc.).

  • Permission Forms: Ensure all relevant school permission slips are signed and completed.

  • Bring a Camera: Don’t forget to pack a school camera/iPad to capture photo evidence of your students’ fantastic day of learning!

⏳ Your Trip Timeline: What to Do & When

 

1.1. Complete Your Risk Assessment: Before booking.

A risk assessment must be carried out prior to your visit. To make this easier, you can download our generic risk assessment and a schedule of the day in the downloads section below.

2.2. Arrange Your Transport: 2-3 weeks before.

Book your coach or minibus. Instruct your driver to drop off and collect your group from the dedicated loading bay on River Drive.

3.3. Update OpenZone Staff: 1 week before.

Get in touch with our team to confirm your exact arrival and departure times.

4.4. Share Student Needs: 3-5 days before.

Alert our centre staff to any specific student needs so we can prepare. This includes physical needs (e.g., nut allergies), SEN, behavioral, or safeguarding needs.

5.5. Final Check on Arrival: Morning of the visit.

Hand a completed class list to OpenZone staff upon arrival. This must include the names of all accompanying adults—we just need to know the total headcount of children and adults in your party.

 

📷 Media & Photography Policy

We love celebrating student success! We frequently use photos, videos, or student work for displays inside The Word, on our website, or across social media.

⚠️ Important: Please check your school’s photo policy before arriving. You must explicitly inform OpenZone staff of any children who cannot have their photo or video taken.
